Legal Practice Assistant – Austria

We are currently looking for a Legal Practice Assistant to join our team in Vienna

Are you an organized and detail-oriented team player who always keeps your composure? Do you enjoy being the central point of contact between authorities, lawyers, and clients? Have you already gained previous experience in a law firm or notary office and are ready for your next career step?

Responsibilities include:

  • Providing support as part of a team of legal assistants in various day-to-day operations and practice coordination;
  • Managing a broad range of complex administrative duties, such as calendar management, scheduling meetings, preparing reports and meeting materials, responding to routine correspondence, assisting with technical support, processing expense reports, time entry, etc;
  • Supporting client onboarding, billing and relationship management activities;
  • Assisting with exciting national and cross-border court cases and transactions;
  • Professional correspondence with clients and authorities in German and English;
  • File management and deadline tracking via Advokat and WebErv;
  • Organizing travel arrangements;
  • Document production and management;
  • Drafting pleadings and applications for various court proceedings;
  • Liaising with other firm departments and key stakeholders to complete tasks effectively and efficiently.

Key skills and experience required:

    • Completed education (legal assistant apprenticeship or Matura);
    • Experience working at a law firm or notary’s office;
    • Excellent MS Office skills;
    • High level of integrity and discretion in handling confidential information;
    • Strong interpersonal, verbal and written communication skills;
    • Precise, structured, and independent way of working;
    • Ability to work independently and with a team, and to delegate and manage resources effectively;
    • Very good command of German and English;
    • Enjoying teamwork, organization, and legal topics;
    • Ability to manage multiple files, deadlines and tasks simultaneously.
